The rules that govern your access to and use of the IventsPro platform.
Effective 24 August 20261. Acceptance of Terms
These Terms and Conditions ("Terms") govern your access to and use of the iVentsPro platform, website, applications, software and related services ("Platform").
By accessing, registering on, purchasing through, or using iVentsPro, you confirm that you have read, understood and agreed to these Terms. If you do not agree with these Terms, you should not use the Platform.
Where you use iVentsPro on behalf of a company, organization, event organizer or other entity, you confirm that you have authority to accept these Terms on its behalf.
2. About iVentsPro
iVentsPro is an all-in-one event operations platform designed to help organizers plan, manage and execute events. The Platform may provide services including:
- Event registration and ticketing
- Guest accreditation and QR-code access control
- Check-in and check-out
- Volunteer, staff, vendor and partner management
- VIP and VVIP management
- Seating, parking and meal management
- Event communications, reporting and analytics
- Event operations management
The specific services available may vary depending on the event, package or agreement with the organizer.
3. User Registration and Accounts
Certain iVentsPro services may require users to create an account. Users agree to:
- Provide accurate and complete information;
- Keep account information updated;
- Protect their login credentials;
- Not share account credentials with unauthorized persons;
- Notify iVentsPro of suspected unauthorized access; and
- Use the Platform only for lawful purposes.
Users are responsible for activity conducted through their accounts, except where unauthorized access is demonstrated to have occurred without their reasonable negligence. iVentsPro may suspend or restrict accounts involved in fraud, abuse, unauthorized access or violation of these Terms.
4. Event Registration
Where applicable, iVentsPro facilitates registration for events on behalf of event organizers. Registration information must be accurate and complete.
The event organizer may establish specific registration requirements, eligibility criteria, access categories and participation conditions. Completion of registration does not necessarily guarantee entry where additional accreditation, identification or security verification is required.
5. Tickets and Digital Credentials
Where applicable, iVentsPro may issue tickets, invitations, QR codes, digital badges, physical badges, lanyards, staff credentials, volunteer credentials and other event-access credentials. Credentials may be assigned to a specific individual and may contain specific access rights.
Users must not:
- Duplicate tickets or QR codes;
- Forge credentials;
- Alter accreditation information;
- Transfer restricted credentials without authorization; or
- Attempt to bypass event access controls.
iVentsPro and/or the event organizer may invalidate fraudulent, duplicated or improperly transferred credentials.
6. Event Access and Security
Event organizers may use iVentsPro to manage access to different areas of an event, divided into gates, zones, areas, categories, levels or permission groups.
Users must comply with all event security and access-control procedures. Possession of a ticket or registration confirmation does not guarantee access to restricted areas. Event security personnel and authorized event officials may deny access or remove individuals who violate event rules or security requirements.
7. Event Organizer Responsibilities
Event organizers using iVentsPro are responsible for:
- Providing accurate event information;
- Setting ticket prices and registration requirements;
- Establishing access permissions;
- Communicating event rules;
- Providing appropriate event security and safety arrangements;
- Obtaining necessary permits and approvals;
- Ensuring compliance with applicable laws;
- Establishing cancellation and refund policies;
- Providing accurate venue and event information; and
- Ensuring that their event is properly managed.
iVentsPro provides technology and related services and does not assume responsibility for decisions made by an event organizer.
8. Event Changes and Cancellations
An event organizer may change or cancel an event, including changes to date, time, venue, program, speakers, ticket categories, seating arrangements or access requirements.
Where an event is changed, postponed or cancelled, the event organizer is responsible for communicating the relevant information to attendees. Any refund will be handled in accordance with the applicable event organizer's refund and cancellation policy.
9. Fees and Charges
Fees for iVentsPro services may depend on the number of attendees, event size, services selected, ticketing volume, accreditation requirements, event duration, custom development, integrations and additional operational requirements.
Applicable fees will be communicated to the event organizer through a quotation, invoice, subscription or service agreement. Unless otherwise agreed, all fees become payable according to the applicable payment terms.
10. Payment Processing
Payments made through iVentsPro may be processed through third-party payment providers. Users agree to provide accurate payment information and authorize applicable charges. iVentsPro may suspend services where amounts due remain unpaid. Third-party payment providers may operate under separate terms and conditions.
11. Refunds
Refunds, where applicable, shall be governed by the refund policy established for the relevant event. Unless expressly stated otherwise, iVentsPro does not guarantee refunds for events that are cancelled, postponed or modified by an event organizer.
Where iVentsPro is responsible for processing an approved refund, the refund will be handled through the applicable payment channel. See our Refund Policy for full details.
12. Prohibited Use
Users must not use iVentsPro to:
- Commit fraud, create fraudulent events or sell fraudulent tickets;
- Impersonate individuals or organizations;
- Manipulate registration information;
- Duplicate or manipulate QR codes;
- Circumvent access controls or gain unauthorized access to restricted areas;
- Introduce malware or malicious code;
- Attempt to compromise the Platform or interfere with Platform operations;
- Conduct unlawful activities;
- Abuse other users;
- Upload unlawful or fraudulent content; or
- Violate applicable laws.
iVentsPro may suspend or terminate accounts involved in prohibited activities.
13. Event Content
Event organizers may upload or provide event names, descriptions, images, logos, schedules, speaker information, venue information, ticket information and other event-related content.
The organizer is responsible for ensuring that it has the necessary rights and permissions to use such content, and must not provide content that is unlawful, fraudulent, defamatory or infringes the rights of another person or organization.
14. Intellectual Property
All intellectual property relating to the iVentsPro Platform — including software, technology, website design, user interface, graphics, logos, branding, features, documentation and platform architecture — belongs to iVentsPro or its respective licensors.
Users may not copy, reproduce, modify, reverse engineer, distribute, sell, license or commercially exploit any part of the Platform without prior written authorization. The iVentsPro name and logo may not be used without permission.
15. Organizer Content
Event organizers retain ownership of content they provide to iVentsPro. By providing content, the organizer grants iVentsPro the necessary limited permission to host, process, display and use that content solely for providing the contracted services.
16. Third-Party Services
iVentsPro may integrate with third-party services, including payment providers, SMS providers, email providers, cloud services, authentication services, analytics services, communication platforms and other technology providers. Third-party services may have their own terms and conditions. iVentsPro is not responsible for services outside its reasonable control.
17. Platform Availability
iVentsPro will make reasonable efforts to maintain reliable Platform availability. However, temporary interruptions may occur because of scheduled maintenance, system upgrades, internet failures, cloud-service interruptions, hardware or software failures, cybersecurity incidents, third-party service interruptions, or other circumstances beyond our reasonable control. We will make reasonable efforts to restore affected services as soon as practicable.
18. User Conduct
Users must conduct themselves responsibly when using iVentsPro and attending events managed through the Platform, and must comply with event rules, venue regulations, security instructions, access restrictions, applicable laws, and reasonable instructions from authorized event personnel.
19. Suspension and Termination
iVentsPro may suspend, restrict or terminate access to the Platform where these Terms are violated, fraud is suspected, unauthorized access is detected, payments remain overdue, the Platform is abused, illegal activity is suspected, or continued access presents a security or operational risk. Termination does not affect obligations that arose before termination.
20. Disclaimer
iVentsPro provides technology and event-management tools to support event organizers. iVentsPro does not guarantee attendance levels, event success, event profitability, security outcomes, third-party services, venue availability, or decisions made by event organizers. Event organizers remain responsible for their events and operational decisions.
21. Limitation of Liability
To the extent permitted by applicable law, iVentsPro shall not be liable for losses resulting from matters outside its reasonable control, including event cancellation by an organizer, venue closure, government action, weather or natural disasters, public disorder, security incidents, attendee misconduct, payment-provider failures, internet or telecommunications failures, third-party service failures, or unauthorized access caused by compromised user credentials.
Nothing in these Terms excludes liability that cannot legally be excluded.
22. Indemnification
To the extent permitted by law, users and event organizers agree to indemnify iVentsPro against claims, losses, damages or expenses arising from violation of these Terms, unlawful use of the Platform, fraudulent activity, infringement of third-party rights, misuse of event or attendee information, or violation of applicable laws.
23. Force Majeure
iVentsPro shall not be responsible for delays or failure to perform caused by circumstances beyond its reasonable control, including natural disasters, war, terrorism, epidemics or pandemics, government restrictions, civil unrest, power failures, telecommunications failures, cyberattacks, internet failures, or other extraordinary circumstances.
24. Changes to These Terms
iVentsPro may update these Terms from time to time to reflect changes in services, technology, business operations, applicable laws or regulatory requirements. Updated Terms will be published on the Platform. Continued use of iVentsPro after the effective date of revised Terms constitutes acceptance of the updated Terms, subject to applicable law.
25. Governing Law
These Terms shall be governed by and interpreted in accordance with the laws of the Republic of Kenya, unless otherwise required by applicable law.
26. Dispute Resolution
Any dispute should first be raised with iVentsPro for amicable resolution. Where a dispute cannot be resolved through direct communication, the parties may pursue appropriate mediation, arbitration or legal proceedings in accordance with applicable Kenyan law. Nothing in these Terms prevents a party from exercising a lawful right or seeking relief from a competent court or authority.
