How it came together
One system, every department
Guest registration, structured badges with QR codes, access zones, volunteer scheduling, and gate check-in all ran on a single IventsPro instance — no spreadsheets, no separate scanner app.
Badges printed at scale
Over 3,200 badges were generated and printed across guest, volunteer, and staff categories, each with a structured UID and scannable QR code tied to the right access zone.
A volunteer team this size needs real coordination
More than 2,200 volunteers were organised into departments with their own leads, invitations, and check-in tracking — visible to organisers in real time.
Check-in that kept the gates moving
QR scanning logged hundreds of check-ins at the gate, giving the organising team a live picture of attendance instead of a paper register.
